Designing the transition from the service company model to SaaS platform

I was tasked with creating the Recruiter Space and Admin App. I worked in a team with two other designers who were responsible for other parts of the system. I also closely collaborated with the Product Manager and developers on the client side.
During 9 months of work, I:
Conducted user and stakeholder interviews
Tested interfaces and hypotheses (many-many times)
Created the Recruiter Space → now recruiters had their own workspace to quickly evaluate candidates
Created the Admin App → now the client team could manage all processes from one place
Soon after implementing the entire design, the client startup was acquired by a larger company PandoLogic.

Client
Wade & Wendy is an American HR tech company. They help businesses automate the top and middle of the funnel for their recruitment efforts. Furthermore, Wade & Wendy team is building conversational AI chatbots for the hiring process improvement.

Situation
The initial request was to automize all time-consuming manual workflows and pack them into a digital product, thus improving the recruiter process to scale Wade & Wendy's business.
I worked in a team with two other designers. I was responsible for the Recruiter Space and the Admin App.

Process
Recruitment is a multistage and messy process, so we have begun with deep research of the client's operating business model and work structure, analyzed all resources Wade & Wendy uses, learned about the team, and engaged in all the stages.
We decided to build three refined digital products for talents, recruiters & admins and pack them into one SaaS ecosystem.
To make the recruitment process easier, we made sure that both candidates and recruiters had a clear path to follow. We looked at things from the candidate's point of view and used data to figure out what was important to recruiters. Then we gave the client's team tools they could use, like a design system and a way to organize tasks, to get ready for making the system.


Recruiter Space
I was responsible for the Recruiter Space. Initially, the client didn’t have this functionality, and we built it from scratch. We conducted stakeholder interviews, gathered all the requirements and insights, and developed our hypotheses about what Recruiter Space should be like.
After that, I interviewed recruiters to test our hypotheses and find new insights and opportunities.
As a result, we decided to split Recruiter Space into two major parts: Jobs and Analytics.

Admin App
After finishing work on Recruit Space, I started working on Admin App. This is the place that connects all parts of the HR system in one place.
In creating Admin App, I collaborated extensively with Devs, PMs, and ML Engineers.
With the new Admin App, recruiters spend 35% less time qualifying candidates now. Designed from scratch, template functionality has simplified the preparation of new jobs, and a new position is created in a few clicks.

Okay, but what about the results?
As a result we helped Wade & Wendy process more applications and thus increase company revenue.
We scaled their business by building more refined versions of different platforms for admins, and recruiters. The newly designed Wade & Wendy has reached an initial customer base of over 4000 users.
